PROJECT COORDINATOR | PRECONSTRUCTION

We’re looking for an experienced Project Coordinator to join our growing Preconstruction team and play a key role in supporting the planning and development of our commercial projects. This is an opportunity for a highly organized, detail-oriented professional who enjoys working across multiple teams, managing competing priorities, and helping move projects from early-stage concepts toward construction.

About the Role

As a Project Coordinator supporting Preconstruction, you will support the estimating and design-development process on our commercial pipeline — coordinating bid packages, maintaining drawing and consultant document control, and tracking preconstruction milestones from initial information-gathering through the hand-off to construction. You will act as a key liaison between the estimator, Preconstruction Project Manager, architects, and consultants to keep projects moving efficiently through budget and design development.

What You’ll Do

Preconstruction Coordination & Scheduling

  • Assemble and distribute bid/tender packages to subcontractors and vendors for pricing.

  • Maintain a subcontractor bid log — invitations sent, quotes received, and comparison status.

  • Schedule and coordinate pre-bid site walks and consultant/design meetings.

  • Track preconstruction milestones (information gathering, client proposal, budget review, value engineering, and final budget/IFC) against target dates.

  • Support scheduling of inspections, permitting steps, and compliance reviews as projects move toward construction start.

Documentation & Administrative Support

  • Maintain version control on drawings, specifications, and addenda issued during design development.

  • Track RFIs raised during estimating and route them to the appropriate consultant or design team member.

  • Maintain the estimate/budget revision log and quantity takeoff records.

  • Prepare and assemble GMP/proposal packages for client submission.

  • Provide administrative support, including contract administration and document control tailored to preconstruction requirements.

Communication & Collaboration

  • Act as a liaison between the estimator, Preconstruction Project Manager, architects, and consultants to ensure clear communication and efficient workflow during design development.

  • Support preparation of progress reports and budget tracking in collaboration with the Preconstruction Project Manager and estimator.

  • Support the hand-off package to the Commercial Projects team at construction start, including the responsibility matrix, budget, subcontractor list, and schedule baseline.

  • Utilize project management software effectively for scheduling, documentation, and reporting purposes.

Success In This Role

  • Bid packages are assembled and distributed accurately and on schedule, with the bid log kept current.

  • Drawings, specifications, and addenda are version-controlled and current throughout design development.

  • RFIs and consultant deliverables are tracked closely against preconstruction milestones, with delays flagged early.

  • Hand-off packages to the Commercial Projects team are complete and accurate at construction start.

  • Communication between the estimator, Preconstruction Project Manager, and design team is clear, timely, and solutions-focused.

What You Bring

  • Proven experience coordinating in a design, estimating, or preconstruction environment; general commercial project coordination experience with willingness to learn preconstruction-specific processes will also be considered.

  • Strong organizational and time management skills to track multiple projects and deadlines.

  • Excellent communication and interpersonal skills to coordinate with consultants, architects, subcontractors, and internal teams.

  • Detail-oriented with strong documentation and reporting abilities.

  • Comfort working with drawings, specifications, and addenda in a design-development context.

  • Experience with takeoff/estimating software (e.g. Procore, Bluebeam, PlanSwift, or equivalent) is an asset.

  • Proficiency with project management software and standard office applications.
